The work
What this actually involves
Voice AI is judged on the calls it gets wrong, not the ones it gets right. So the build starts from the call flow you already have and the moments where a person must take over.
Everything is recorded, transcribed and written back to the CRM, so the conversation is part of the contact record rather than a separate system nobody opens.
Included
What you get
Mapped from how calls actually go, including the awkward ones.
Call flow first
Mapped from how calls actually go, including the awkward ones.
Escalation
A defined handoff to a human, with the context they need already on screen.
Recordings and transcripts
Written back to the contact, searchable, and usable as training material.
Measured
Answer rate, containment and booking rate, so the decision to keep it is evidence-based.
Hire me when
Signals this is the right piece of work
Calls go unanswered outside office hours and the leads go cold
You want qualification handled before a person picks up
The front desk cannot keep up with inbound volume at peak
You need transcripts and recordings in the CRM, not in a separate portal
A previous Voice AI attempt failed and you need to know why
You want a measured trial before committing the whole call flow to it
The problem
The call you miss is the lead you paid for
Most businesses spend to generate a phone call and then answer it inconsistently. Out of hours it goes to voicemail, which a proportion of callers simply will not leave. During busy periods it rings out. When it is answered, the quality depends entirely on who picked up and what else they were doing.
Voice AI is worth deploying where those gaps are, not everywhere. The realistic target is the out-of-hours call, the call that goes unanswered because everyone is busy, and the overflow when volume spikes. Handled well, that recovers enquiries you have already paid to generate.
What gets built
Deployed against your real call flow
Picks up when nobody can, establishes what the caller wants, and captures it against the right record.
Answer and qualify
Picks up when nobody can, establishes what the caller wants, and captures it against the right record.
Book into the right calendar
Service type mapped to the correct calendar and the correct person, rather than everything landing in one diary.
Confirm by message
A follow-up SMS or WhatsApp with the captured details, so names and email addresses get corrected by the caller rather than mistyped by a machine.
Recordings and transcripts
Every call recorded, transcribed and attached to the contact, so nothing depends on somebody remembering.
The detail that matters
Names and email addresses over the phone
The single most common failure in voice AI is not comprehension of intent. It is capturing a name or an email address accurately over a phone line, in an accent, possibly outdoors.
The fix is not a better model, it is a better flow. The agent captures what it heard, then sends a text with the details for the caller to confirm or correct with one tap. The record updates from their correction rather than the transcription. It is unglamorous and it removes most of the error rate.
Voicemail is worth the same treatment. A missed call with a transcribed voicemail parsed into a contact record and routed for follow-up is a lead. A voicemail nobody listens to until Monday is not.
Boundaries
What this deliberately does not include
It covers the gaps. A business that routes every call to AI during working hours usually regrets it, and customers notice.
Replacing reception entirely
It covers the gaps. A business that routes every call to AI during working hours usually regrets it, and customers notice.
Complex or sensitive conversations
Complaints, clinical questions and anything emotionally loaded should reach a person quickly. The escalation path is part of the design.
Ignoring the compliance position
Call recording and messaging carry obligations that vary by country. These get established before deployment, not after a complaint.
Common questions
Questions people ask before booking
Does Voice AI replace my receptionist?
No, and businesses that try it usually reverse the decision. It covers out of hours, unanswered calls and overflow. Those are the calls currently being lost, which is where the return is.
How does it handle someone spelling out an email address?
By not relying on the transcription. It captures what it heard, then texts the caller to confirm or correct the details with one tap, and updates from their correction. That removes most of the error rate.
Can it book directly into my calendar?
Yes, and into the correct calendar for the service requested rather than a single shared diary. Mapping service type to calendar is part of the build.
What happens if the caller is upset or the question is complex?
It escalates to a person, with the context passed across. Defining those triggers properly is a meaningful part of the work rather than an afterthought.
Are calls recorded, and is that allowed?
Calls can be recorded and transcribed against the contact record. The legal position varies by country and sometimes by state, so it is established up front and configured accordingly.
Will it sound like my business?
Brand voice is configured per account, so tone, terminology and the way services are described match yours rather than defaulting to something generic.
