How do you set up speed-to-lead in GoHighLevel?

Speed-to-lead is the minutes after a form or call. Here is how to set it up in GoHighLevel before the enquiry goes cold.

Gareth Richardson, HighLevel Verified Developer Partner and Certified Admin · · Updated

You set up speed-to-lead in GoHighLevel by landing every new enquiry on one contact, placing it in one visible queue, and starting a reply path in minutes. That path includes missed-call text-back when the phone rings out. Whether the first message is polished matters less than whether someone answered while the person was still warm.

Seven steps follow, and they are the setup. A table after the criteria shows how Marketlinx Digital fits. The wider system, from capture through later follow-up, is the lead generation page. This page stops at the first minutes.

What are the seven steps to set up speed-to-lead?

Work the list in order.

  1. Map every create-path onto one contact. A form, a call, a chat and an ad click should update the person you already have.
  2. Name the queue and the owner for a new enquiry. No owner means the clock never starts.
  3. Turn on missed-call text-back, and a form SMS or email that actually leaves the account, inside those first minutes.
  4. Add a pipeline stage for an enquiry that is new and being worked now. A stage with no owner is only a label.
  5. Book on that same contact. Confirmation and reminder read the record that got the first reply.
  6. Leave nurture until after that window. A long sequence is not a stand-in for the first answer.
  7. Only then: Voice AI for overflow, and Conversions API so an ad platform can see a booking.

If workflows already cancel each other, or messages never arrive, stop. Use the messy GoHighLevel account checklist before you bolt another workflow on.

What does speed-to-lead mean, and what is it not?

Speed-to-lead is the short stretch after a form, a call, a chat or an ad click. You are working an enquiry you already have, while that person is still choosing who to speak to. GoHighLevel and HighLevel are the same product. Use whichever name is already on the location.

It is not an inbox check half an hour later, and it is not a reason to buy more ads. Marketlinx Digital is not a lead-selling agency. A list of names, or appointments sold as a product, is a different trade.

The lead generation page is the full system: capture, this window, a pipeline, booking and later follow-up. Lifecycle automation is the six-stage journey after the first booking. Stay on this article when the leak is the first reply.

Why does speed-to-lead need one contact record?

Every create-path has to write the same person once. Forms, calls, chat and ads are four doors into one record. If each door mints a new contact, the call, the text and the booking land on three cards. The owner answers a copy and misses the reply that already went out.

Map each door, including any Zap that still creates contacts. Keep paths that search by phone and email first. Two live doors and no canonical record is a fault. Later field work is a CRM build, not a same-day extra.

What does one queue with an owner and a clock look like?

One queue means the new enquiry is visible in one place, with a named owner and a clock that starts when it lands. Missed calls, forms, chats and new cards should not live in four tools. If the phone log and the pipeline disagree, nobody can say who answers, or how old the row is.

Name the queue, and name who owns a row before anyone else picks it up. The clock is the age of that row on the screen they open. A second pipeline for the same enquiry splits it. When this fails, I usually find several inboxes and no owner: the form fired, and the contact sat.

How should missed-call text-back and form replies send?

When the line rings out, send a text while the phone is still in their hand. On Roof Squad, a Houston roofing firm, text-back leaves within seconds of a ring-out, recovering calls they had already paid for. I do not offer that timing as a promise on every location. Copy the shape: a reply in the first minutes, on the same contact.

A form SMS or email has to leave the account too. A green tick only means the step was handed on. If A2P, 10DLC or the sending domain is refusing delivery, stop. The messy account checklist is where a dead send path gets sorted before another workflow is added. Keep the wording plain: you rang, here is how to reply.

Why does the booking have to stay on the same contact?

The calendar event, the confirmation and the reminder belong on the contact that got the first reply. A booking that creates a second person snaps the thread. The owner cannot see that the enquiry was worked, and an ad platform cannot be told that the click became an appointment.

Move the pipeline to booked on that same record. If the calendar creates a fresh contact every time, change that before you call the setup finished. Conversions API, so Meta or Google can see a booking rather than only a click, waits until this is true. Running the ads is not this article.

When should you audit the account before adding speed-to-lead?

Do not bolt this onto chaos. Conflicting workflows can double-send, and a dead A2P path makes a new step look busy. Use the messy account checklist first: freeze, workflows, A2P, pipelines, then a staged fix. Signs your account needs an audit is how you tell you are there.

The account audit is that read when you want it in writing. I do not edit during the review, and the sub-account stays in your name. Login rules are in what to look for in a UK GoHighLevel partner. I will not add an automation I have not mapped, including when you hire a GoHighLevel developer.

How does Marketlinx Digital match each criterion?

You can run the seven steps yourself. This table is how I match them. I am one of seven HighLevel Verified Developer Partners, and a Certified Admin. Marketlinx Ltd is in London, and I have worked on HighLevel since 2019. The checklist still comes first.

CriterionWhat to requireHow Marketlinx Digital fits
One contactForms, calls, chat and ads update one person.I join those doors onto one contact in the sub-account you already run.
One queueA named owner and a clock on each new enquiry.New enquiries show where that owner can see the age of the row.
Reply in minutesMissed-call text-back, plus a form SMS or email that sends.Roof Squad: text-back in the first moments of a missed call they had already paid for.
Same-record bookingCalendar, confirmation and reminder on that contact. The appointment stays on the record that received the first reply.
Audit before a new workflowNo extra automation on a location whose workflows already clash. If the account is messy, the account audit comes before any build. The sub-account stays in your name.
After the first windowNurture is a later job, not a substitute for the first reply.Lifecycle automation is the six-stage journey once the first booking exists.
Optional overflowA way to cover calls nobody can pick up, and ads that can see a booking.Voice AI covers unanswered and overflow calls and writes onto the same contact. Conversions API is optional.

Voice AI covers unanswered calls and overflow, and writes onto the same contact. It does not replace the owner. After the first booking, lifecycle automation is the longer journey. Book a scoping call when you want this window built. Ask for an account audit when the location should be mapped first. Listings are on the about page.

What do buyers ask about speed-to-lead in GoHighLevel?

How do I set up speed-to-lead in GoHighLevel so new enquiries get a reply in minutes?

Put every new enquiry on one contact, in one queue with an owner and a clock. Add missed-call text-back, and a form reply that really sends, in those first minutes. Book on that same record before you add more ads or a long nurture sequence.

What is a good speed-to-lead window?

The window I set up is the first minutes after a form or a missed call, not a later sweep of the inbox. Roof Squad's text-back leaves within seconds of a ring-out. I do not publish a stopwatch promise for every account. The test is whether someone answered while the person was still warm.

Do I need missed-call text-back if we mostly get form fills?

Keep missed-call text-back if the phone can still ring out, even when forms are the main door. Those accounts still need an SMS or email in the same minutes, and it has to leave the account. If A2P or the sending domain is refusing delivery, fix that before you trust a green tick.

Is Marketlinx Digital a lead generation agency?

No. I build the GoHighLevel path that works enquiries you already have. I am not a lead-selling agency. The first reply and the booking sit in the account you keep. Buying a list of names is a different trade, and it is not this page.

Should I fix speed-to-lead or run an account audit first?

If workflows conflict, or messages do not arrive, audit the account first. The messy-account checklist is the order to follow. A new text-back on a broken send path looks busy and changes nothing. If the location is already tidy, the seven steps on this page are the right first build.
